Context

The situation

Bringing three distinct private schools together under a single brand is a huge task and the technology behind it can either be a seamless bridge or a chaotic barrier. For this consolidating school unifying their digital presence was just as crucial as blending their schools and traditions. It's about creating a unified digital heart for a new, singular institution, ensuring every student, teacher, and administrator feels connected and supported from day one.

The lack of a unified digital identity threatened to undermine the entire consolidation effort creating a "three schools in one building" feel rather than a truly unified brand. The school desperately needed a complete technological overhaul to create a cohesive digital environment, streamline operations, and realize the true financial benefits of consolidation.

When three private schools merged their technology was fragmented and costly. Each had its own website confusing families and confusing the new brand. Separate Google Workspace environments hindered collaboration for staff and students. They also maintained multiple physical servers leading to redundant costs and maintenance issues.

They also paid for duplicate software and online curriculum licenses. This digital fragmentation caused confusion, inefficient staff collaboration, and higher IT overhead. The budget was drained by unnecessary duplicate licensing.

Goals

What they needed

Their goals
  • Establish a Unified Digital Identity Their top priority was to present a single consistent online presence reflecting their new brand.
  • Streamline Collaboration They needed a seamless way for all staff and students to work together within one shared digital environment.
  • Reduce IT Costs & Complexity They aimed to eliminate redundant hardware and software expenses by consolidating systems and licensing.
  • Simplify Access Ensure students and staff had easy unified access to all necessary digital tools and resources.
  • Modernize Infrastructure Transition away from outdated physical servers to a more efficient and reliable cloud based system.
What the solution had to include

To achieve these goals the consolidated school specifically needed a solution with the following capabilities and support:

  • Setup of a single branded Google Workspace environment for the entire new school.
  • Migration of all existing staff accounts and Google Classrooms into this new unified environment.
  • Implementation of Single Sign-On (SSO) for Windows devices, linking them to the new Google accounts.
  • Transition away from all physical on-premises servers across the original three schools.
  • An expert to identify and consolidate all software and online curriculum licensing, eliminating duplication.
Key stages

How we did it

Our approach was detailed and collaborative designed to ensure a smooth transition with minimal disruption during this critical consolidation period:

  1. Comprehensive Digital Audit We began by conducting a thorough audit of all existing technology from the three schools. This included websites, Google Workspace instances, server infrastructure, and every piece of software and online curriculum.
  2. Unified Google Workspace Setup We designed and established a brand new Google Workspace environment with the consolidated school's new branding creating the central hub for collaboration.
  3. Seamless Account & Classroom Migration Our team migrated all staff accounts and Google Classrooms from the old environments into the new unified Workspace, ensuring no data was lost and continuity was maintained.
  4. Single Sign-On Implementation We configured and deployed Single Sign-On (SSO) for all Windows devices. Allowing students and staff to log in effortlessly from any of the three campuses using their new unified Google accounts.
  5. Serverless Transition & Data Migration We assisted in divesting from all physical on-premises servers across the three schools, migrating their data to secure cloud based solutions, eliminating maintenance headaches and hardware costs.
  6. License Consolidation & Optimization We performed a detailed analysis of all online and software licensing, identifying and consolidating redundant subscriptions to achieve significant cost savings.
The solution

What we put in place

We provided a comprehensive solution that transformed the three disparate digital presences into a single, cohesive, and efficient cloud first ecosystem. This included setting up a unified Google Workspace, migrating all existing accounts and data, implementing single sign-on across devices, and divesting from all physical servers by moving to cloud based alternatives. We also meticulously identified and consolidated all redundant software and online curriculum licenses.

  • Simplified Access for All Students and staff benefit from Single Sign-On enjoying easy consistent access to all their devices and online curriculum platforms, reducing login frustrations usually associated with this type of project implementation.
  • Modern, Reliable Infrastructure The transition away from physical servers means a more resilient, scalable, and secure backbone, ready to support future growth without the outdated hardware.
  • Increased Efficiency & Morale With streamlined systems and reduced technical headaches staff can focus more on teaching and administration leading to greater efficiency and improved morale across the entire unified school.
Next steps

Is your school in the same spot?

  • Your school is merging, and each original school still runs its own systems.
  • Staff and students work in separate Google Workspace environments.
  • You maintain several physical servers that add cost and upkeep.
  • You pay for the same software or curriculum licenses more than once.
